Challenges

As long-time Dentrix users, the team at Ryan F. Mueller, DMD was happy with their practice management system but considering a move to the cloud so they could eliminate additional IT support and access their information anytime, anywhere. When their server failed, and they lost all of their data, they decided it was time to make the move.

Solution

Because they had been using Dentrix, it seemed logical to transition to Dentrix Ascend. Additionally, Dentrix Ascend met more of their needs than any other alternatives on the market, and the practice wanted to stay with Henry Schein One - a company they knew and trusted.
While the platform offered a new user interface, the Dentrix Ascend workflows were easy to learn within a few days and second nature for the team within a couple weeks. "It's easy to navigate to what you're trying to get to, because it's like working on a web page," said Betsy Cord, Office Administrator at Ryan F. Mueller, DMD. "If you can shop online, then you can use Dentrix Ascend."

Results

Once Ryan F. Mueller, DMD implemented Dentrix Ascend, the difference was night and day. "I never have to call the IT guy or deal with computer issues," said Cord. "Instead, I can focus on my job instead of trying to fix the computers and deal with everybody's technology issues."

The team now runs their entire practice from within Dentrix Ascend. The clinical tools help streamline processes for the hygienists and Dr. Mueller, while Betsy, as the only front-desk person, relies heavily on the patient communication solutions. The team uses Dentrix Ascend’s texting and email capabilities to send re-care and appointment reminders, electronic bills, and online forms.

The office's favorite part of Dentrix Ascend, though? The billing and payment tools. Before they had Dentrix Ascend's text-to-pay options, the practice would send out statements and usually wait three to four weeks to get paid. Now they can send out electronic statements via text message and are often paid within minutes. "I literally start seeing the number pop up on the upper right-hand part of my screen showing payments coming through within two or three minutes once I send the text," said Cord. "I can't believe that's all I have to do."

The practice also uses Ascend Pay, so patient payments are automatically posted to the ledger. "I love having everything right there. Payments automatically link to patient charts, and I don't have to double post anything," said Cord. Now she's saving time, streamlining her workflows, and focusing more on other essential tasks. And it's not just a huge benefit for the office. "If you're not using electronic billing, you're doing a disservice to your patients. They want tools that are going to save them time," said Cord.

I couldn’t do everything I do without the help of a program like Dentrix Ascend. It’s like having another person in the office. That’s a huge benefit in my eyes, because I’m so much more efficient and able to get everything done.

When we sent out paper statements, it was usually 3-4 weeks before we’d get paid. Now it’s literally minutes, and you can’t put a price on that – that’s incredible getting your money right away. If you have a problem with accounts receivable, you should be sending out your statements electronically and getting paid in real time.
