Last month I discussed the essential criteria for your evaluation process. This month, I'm moving on to the first steps you need to take before purchasing and implementing a new software solution. A thorough evaluation of your organization's needs and related goals is an essential first step.  

  

What to consider: 

  • The size of your organization as a whole
  • Which people and departments this will impact
  • Growth projections and their unique scope
  • The "pinch-points" of your current solutions
  • Your vision and goals for the new solution 

  

Having those needs and goals defined gives you clarity about selecting new technology solutions. 

  

Create a comprehensive implementation plan 

Once you’ve chosen a partner to work with, the next step is planning and preparing for what the transition will actually look like.  

 

A comprehensive training plan and change management strategies will help ensure a smooth transition and team buy-in. 

Emphasize the benefits of the new technology 

Demonstrate how it will improve daily workflows and productivity 

Encourage open communication and be prepared to answer questions and concerns your staff may have 

   

The time and energy you invest in preparing and training your team for the system change will allow you to maximize the system's benefits and increase your implementation pace. 

 

Beyond that, technology changes are merely one significant area of change your organization will face. There's also a recognizable culture shift that you should expect across your organization and within each practice. 

  

Promote a positive culture change and user-experience 

The cultural shift from new technology can be substantial. How you manage the changes and user experience are key to a successful migration. 

  

Provide comprehensive and ongoing training 

Focus on familiarizing your team with the features and benefits of your solution. Tailor training modules to each individual user experience across your organization.

Build advocacy for your new software by spotlighting those who are maximizing its potential. Their early adoption can become a support network across your organization for troubleshooting and assistance.

Inform your staff of relevant training sessions and educational resources. Encourage a culture of improvement and system maximization across your organization. 

 

Use your provider's ongoing support and training 

Successful implementation is an ongoing process. And the consistent support of your provider is essential to troubleshooting and maximizing your new system. 

Utilize support services and help-desk solutions as necessary

Stay informed and current with software updates

Maintain clear and timely communication about reported issues

Confirm that your team(s) are aware of the support solutions along with reporting and contact protocols
